What Wizzy holds about you, and why. Last updated 9 September 2026.

What this is

Wizzy is the scheduling system for the Columbia OMFS Teaching Clinic. It exists so attending surgeons can see which teaching sessions need cover and take a seat, and so clinic staff can keep the rota filled.

Wizzy holds nothing about patients. A session is a date, a half-day and a number of seats. There are no patient names, no clinical details and no medical records anywhere in this system.

What we hold about you

If you are an attending on the rota:

  • your name, email address and phone number, as the clinic recorded them
  • which sessions you booked, released or did not attend, and when
  • the personal link that signs you in, which is why that link is yours alone
  • emails we sent you, emails you sent back, and whether our email system recorded that a message was opened

If you are a member of clinic staff, we also hold your sign-in details (your password is stored only as a one-way hash, never as text) and a log of the actions you take in Wizzy, so the clinic can answer who changed what.

Why we hold it

To run the rota. Sessions have to be covered, people have to be told when they are on and when they are not, and the clinic has to be able to see its own coverage. Some messages we send are about your own bookings and cannot be switched off, because not receiving one would mean turning up to a session that is not yours, or missing one that is. Others are requests and reminders, and those can be switched off for you.

Email

Our email provider records whether a message was delivered, whether it bounced, and may record whether it was opened. The clinic uses this to tell "nobody replied" apart from "nobody received it" when a session is going uncovered. If you would rather we did not record whether you open our email, say so and we will switch it off.

Every optional email carries a link to ask us to stop sending it. That link files a request with the clinic rather than changing your settings by itself: a person here reads it and acts on it. Messages about your own bookings will keep coming, because they are the job.

Who else sees it

Three suppliers, each of which processes data only to run this service:

  • Supabase — the database
  • Vercel — the hosting
  • Resend — sending and receiving email

Nobody else. Wizzy runs no analytics, sets no advertising cookies, and loads nothing into your browser from any other company. We do not sell or share your data, in any sense of those words.

If a doctor has a coordinator, the person at their practice who schedules for them, that coordinator sees the doctor's schedule and receives the doctor's scheduling email.

How long we keep it

Your record on the rota lasts as long as you are on it. Email content and delivery records are removed on a schedule once they are no longer useful. The clinic's own log of who did what is kept, because it is how the clinic answers questions about its own decisions.

Your rights

You can ask what we hold about you, ask us to correct it, ask us to stop sending optional email, or ask us to delete you. Write to admin@wizzyscheduling.com and a person will answer. Deleting an attending removes their record, their bookings and their email history from Wizzy.
